The problem
Private tours are how most families decide, but arranging them eats the registrar's week. Fifteen tours a month at 20 minutes of phone and email each is 300 minutes, 5 hours, and a family left waiting for a call back may book a tour elsewhere first.
What the AI does
Calendly lets parents pick a free slot in a calendar from a link. The free plan has one event type and one calendar connection: make 'Visit the school', with the length of a tour and the slots when the head or registrar can show families round. Put the link on your admissions page and in every inquiry reply. Standard ($10, about $11£8€10A$15C$15 a seat a month billed yearly or $12, about $12£9€11A$17C$17 monthly) adds reminders, which cut no-shows on a busy morning.
A worked example
A small independent prep school in Hertfordshire gives about 15 private tours a month, led by the head, and arranges each by phone and email.
Before
15 tours at 20 minutes of arranging: 300 minutes, 5 hours a month
After
Parents book from a link; about 4 minutes each to prepare: 60 minutes
What it's worth
About $106£80€95A$154C$150 a month of the registrar's time saved. That's 4 hours at an assumed $27£20€24A$38C$38 an hour. The free plan does the booking; Standard, about $12£9€11A$17C$17 a month billed monthly for one seat, adds reminders.
How to set it up
- Connect Calendly to the calendar of whoever leads tours and block out assemblies, events and holidays.
- Create one event type, 'Visit the school', with the tour length and meeting point.
- Ask for the parent's name, email, phone and the year of entry; nothing about the child yet.
- Add the link to your admissions page, inquiry replies and email signatures.
- Make a test booking and read what a parent sees.
What goes wrong
- The free plan has no reminders, so some families won't turn up; Standard adds them.
- Visitors on site during the school day must follow your safeguarding and visitor procedures; the booking is only the first step.
- If tours are shared between the head and registrar, one free event type on one calendar won't cover both; that needs a paid plan.
