The problem
Partners want to know each month how consults, average transaction value, booster uptake and health plan numbers are moving, and for which vet. If the practice manager spends 5 hours a month pulling exports from the practice system into a spreadsheet and building tables and charts by hand, that's 5 hours of admin before anyone discusses the numbers.
What the AI does
Copilot in Excel analyzes workbook data, applies formulas across sheets and shows insights as charts, PivotTables, summaries, trends or outliers. The practice manager exports the month's transactions and appointments from the practice management system without client or animal names, opens them in Excel and asks Copilot plain-English questions: income by vet and by service, average transaction value against last month, which services are falling. The manager checks the totals against the practice system's own reports and builds the partners' pack. Copilot works within the Microsoft 365 service boundary and doesn't use prompts to train the models.
A worked example
A two-site small animal practice in Norfolk already pays for Microsoft 365 Business Standard. The practice manager adds one Copilot Business license and uses it to build the monthly figures for the partners' meeting.
Before
5 hours a month building tables and charts from exports by hand
After
About 2 hours, including checking totals against the practice system's reports
What it's worth
About $100£75€89A$144C$141 a month in practice manager time saved, against $21£16€19A$31C$30 for one Copilot Business license paid yearly. 3 hours saved a month, at an assumed $33£25€30A$48C$47 an hour.
How to set it up
- Buy one Copilot Business license for the practice manager, $21.41£16.10€19.16A$30.91C$30.27 a month paid yearly or $25.70£19.32€22.99A$37.09C$36.32 monthly, excluding VAT, on top of the existing Microsoft 365 plan.
- Export the month's transactions and appointments with only the columns needed (date, vet, service, amount), leaving out client and animal names.
- Open the export in Excel and ask Copilot for income by vet and service, average transaction value and changes against last month, with charts.
- Check every total against the practice system's own reports before using it.
- Save the questions that work so next month's pack follows the same steps.
What goes wrong
- Copilot can group or total data wrongly if columns are mixed up or blank. The practice system's reports are the record; check Copilot's figures against them.
- Many practice systems already report the common figures. Use those first and Copilot for the questions they don't answer.
- Whether free Copilot Chat works inside Excel depends on licensing; analysis in the workbook needs the Copilot license, charged per user.
- Exports with client names and addresses are personal data. Leave those columns out and keep the workbook in the practice's Microsoft 365, not personal storage.
