The problem

Diagnostic work means interviewing staff and managers, then writing up each interview before themes can be pulled out. With 12 online interviews a month and 45 minutes of write-up each, that's 9 hours of typing, and quotes get lost.

What the AI does

Fathom's AI note-taker joins Google Meet, Zoom or Microsoft Teams calls, records and transcribes them, and writes a summary; Premium adds advanced summaries and AI action items. After each interview you read the summary against the transcript, correct it and tag the points to your diagnostic themes. The transcript keeps exact wording for any quote you use, with the person's agreement.

A worked example

An independent HR and organization consultant in Oxford runs about 12 one-hour online interviews a month on diagnostic projects. They record each one with Fathom Premium after asking the interviewee's permission.

Before

12 interviews a month at 45 minutes of write-up each: 9 hours

After

12 interviews at about 15 minutes each to check and tag the summary: 3 hours

What it's worth

About $399£300€357A$576C$564 a month in time saved: 6 hours (9 down to 3) at an assumed $67£50€60A$96C$94 an hour. Fathom Premium is $16 (about $16£12€14A$23C$23) a user a month billed annually or $20 (about $20£15€18A$29C$28) monthly; the free plan includes AI call summaries but its limits aren't clearly stated.

How to set it up

  1. Agree with the client that interviews will be recorded and how recordings will be stored and deleted.
  2. Ask each interviewee at the start; offer an unrecorded interview to anyone who prefers it.
  3. Check each summary against the transcript the same day and correct anything wrong.
  4. Tag points to your diagnostic themes as you check, so the analysis is half done.
  5. Delete recordings when the project ends, as agreed with the client.

What goes wrong

  • Interviewees speak more freely when they trust their words won't be traced back. Anonymise quotes and keep transcripts away from the client.
  • Recording people without clear agreement is a UK GDPR problem. Get and note consent each time.
  • Fathom's pricing page doesn't say whether customer data trains AI models. Check before recording sensitive HR matters.
  • A summary flattens nuance. Go back to the transcript for anything you'll rely on in the report.
