The problem
Every hire creates an invoice, and then someone types it into the accounts again, with any extras for fuel, mileage or damage. A firm doing 150 hires a month at about 3 minutes each spends 7.5 hours a month re-keying, and a typo means the bank feed won't match.
What the AI does
Booqable creates invoices automatically from each order, and its Grow plan includes a Xero integration that sends customer and invoice data from Booqable to Xero. Payments taken online through Booqable's payment providers are recorded on the order. The bookkeeper then reconciles in Xero rather than re-typing, and only extras added after return need checking.
A worked example
A van and car hire firm in Southampton with 14 vehicles does about 150 hires a month and already uses Xero. They move to Booqable Grow and connect it to Xero.
Before
150 invoices re-typed into Xero at 3 minutes each: 7.5 hours a month
After
Invoices arrive in Xero from Booqable; about 1.5 hours a month checking extras and reconciling
What it's worth
About $120£90€107A$173C$169 a month in bookkeeping time: 6 hours saved at an assumed $20£15€18A$29C$28 an hour, against $69 (about $69£52€62A$100C$98) a month for Booqable Grow billed yearly, which also runs the firm's bookings. Xero is already in place here; if not, Grow is $52£39€46A$75C$73 a month plus VAT.
How to set it up
- Move to Booqable Grow and connect your Xero account.
- Match Booqable's products and tax settings to the right Xero accounts and VAT rates.
- Run a week of hires through and check each invoice arrives in Xero correctly.
- Agree how extras added after return, such as fuel or damage, are invoiced and checked.
- Reconcile payments in Xero weekly.
What goes wrong
- If tax settings don't match, every invoice arrives with the wrong VAT. Test with a handful of hires before switching over fully.
- The integration is a Grow feature; Start at $29 a month doesn't include it.
- Deposits and pre-authorizations aren't income. Check with your bookkeeper how they should appear in Xero.
