The problem
Buyers inquire on several cars at once, often in the evening, and the dealer who answers first with a straight answer usually gets the viewing. A forecourt getting 60 inquiries a week across AutoTrader, its website, Facebook and WhatsApp, with a quarter left until the next morning, loses some of those buyers to a quicker dealer. Losing 1 sale a month that way, at an assumed $1,197£900€1,071A$1,728C$1,692 profit per car, is $1,197£900€1,071A$1,728C$1,692.
What the AI does
MotorDesk brings website inquiries, live chat, email, SMS, WhatsApp, Instagram, Facebook Messenger and AutoTrader leads into one inbox, linked to the customer and the car they asked about. Its AI Lead Assistant writes a reply from your business and vehicle data, either on its own or from a short prompt such as 'offer a Saturday test drive'. A salesperson reads the draft, corrects it and sends it. Instant notifications go to staff phones, so an inquiry doesn't wait for someone to be at the desk.
A worked example
A 40-car dealer in Stockport with three salespeople gets about 60 inquiries a week. Evening and Sunday inquiries used to wait until Monday. On MotorDesk Scale (50 cars, 5 staff accounts) they now get a checked reply within the hour from whoever is covering.
Before
About 15 inquiries a week answered the next day; around 1 buyer a month lost to a quicker dealer
After
Replies within the hour, 7 days a week; that 1 sale a month kept
What it's worth
About $1,197£900€1,071A$1,728C$1,692 a month in profit, if quicker replies keep 1 sale a month (an assumption, not a promise) at an assumed $1,197£900€1,071A$1,728C$1,692 profit per car. That is against $358£269€320A$516C$506 a month plus VAT for MotorDesk Scale, which also runs the dealer's stock, website and invoicing.
How to set it up
- Connect AutoTrader leads, your website forms, Facebook, Instagram and WhatsApp to MotorDesk's inbox.
- Turn on notifications on each salesperson's phone and agree who covers evenings and Sundays.
- Write down your house rules for replies: viewing hours, how part exchanges work, the warranty you offer and your reservation terms.
- Use the AI Lead Assistant for drafts, and check prices, mileage and availability in every draft before sending.
- Pass any finance question to the person trained to handle it, and keep finance wording out of AI drafts.
What goes wrong
- If you arrange car finance you need FCA authorization as a credit broker, and anything about finance in a reply can be a financial promotion. Let the AI book viewings and answer questions about the car; a trained person answers finance questions.
- The AI works from your stock data. If a sold or reserved car isn't updated, it may offer a car you no longer have.
- Extra staff accounts are $25£19€23A$36C$36 a month each, and WhatsApp and SMS cost about 85p a month plus 2p a text, billed by Bird.
