The problem
Leads from Facebook lead ads wait in the client's Page account until someone downloads them, so either the client remembers to check or someone at the agency exports and emails them every day. For 4 clients at 5 minutes each per working day, that's about 7 hours a month (4 × 5 × 22 = 440 minutes), and leads still wait overnight and at weekends.
What the AI does
Zapier's Facebook Lead Ads integration has a New Lead trigger that fires when a lead is created, and its listed pairings include Gmail, Google Sheets and CRMs such as HubSpot and Pipedrive. Build one Zap per client: new lead in, an email to the client's sales inbox or a row in their sheet out. The free plan has 100 tasks a month and two-step Zaps, which suits one small client; 150 leads a month needs Pro, with 750 tasks.
A worked example
A three-person marketing agency in Cardiff runs Facebook lead ads for 4 local service businesses, about 150 leads a month in total. An account manager used to download the leads each morning and email them on.
Before
440 minutes a month exporting and emailing leads, and nothing sent at weekends
After
Each lead sent on to the client automatically, weekends included, with about 15 minutes a month checking the Zaps ran
What it's worth
About $279£210€250A$403C$395 a month saved, against about $20£15€18A$29C$28 to $29£22€26A$42C$41 for Zapier Pro. About 7 hours a month saved (440 minutes down to about 15), worth about $279£210€250A$403C$395 at an assumed $40£30€36A$58C$56 an hour. Cost: 150 leads is 150 tasks, over the free plan's 100, so Pro at $19.99 (about $20£15€18A$29C$28) a month billed annually or $29.99 (about $29£22€26A$42C$41) monthly, with 750 tasks. Faster calls help clients win more work, which isn't counted here.
How to set it up
- Get partner or admin access to each client's Facebook Page and connect it to Zapier.
- Create a Zap per client with the Facebook Lead Ads New Lead trigger and a Gmail email or Google Sheets row as the action.
- Submit a test lead through the form and check it arrives with every field.
- Agree with each client who receives the leads and how quickly they will call.
- Check the Zap history weekly, and again after any change to the client's lead form.
What goes wrong
- Zaps can stop without warning, for example when a Facebook connection expires. Check the Zap history every week.
- Each lead uses at least one task. More clients or multi-step Zaps will move you up a Pro tier.
- Lead details are personal data. Your contract with each client should say who controls the data, and leads should only go where they need to.
- The free plan has two-step Zaps only and no filters or formatting, which is fine for a simple email but not for routing leads by area.
