The problem
Termite and wood-destroying organism inspections for home sales come with a state form full of codes that buyers and their real estate agents don't understand, so the inspector fields calls or writes an explanation email at night. If an inspector does 25 inspections a month and each explanation takes 20 minutes, that's about 8.3 hours a month, about $290£218€259A$419C$410 at an assumed $35£26€31A$51C$49 an hour.
What the AI does
After the licensed inspector completes the official state inspection report, they paste their findings (with the address and names left out) into ChatGPT, Claude or Gemini with a saved prompt and ask for a short plain-English summary: what was found, where, what treatment or repair is recommended and what the next step is. The inspector checks the summary against the official report, adds the address and sends both. The official report stays the record; the summary only explains it.
A worked example
An illustrative example built from typical figures, not a named business.
A pest control company in Jacksonville, Florida, does about 25 wood-destroying organism inspections a month for home sales, at about $125£94€112A$180C$177 each, on Florida's official WDO inspection report form. Its licensed inspector drafts the buyer summaries with a free or $20£15€18A$29C$28 a month assistant plan.
Before
About 20 minutes writing each of 25 explanation emails a month, about 8.3 hours
After
About 7 minutes each to draft, check and send, about 2.9 hours
What it's worth
About $189£142€169A$273C$267 a month of the inspector's time saved, against nothing to $20£15€18A$29C$28 for an assistant plan. That is about 5.4 fewer hours a month (25 × 13 minutes) at an assumed $35£26€31A$51C$49 an hour.
How to set it up
- Save a prompt that explains your report codes in plain words and says the summary must not add, remove or soften any finding.
- After completing the official report, paste in the findings without the address, owner's name or buyer's name.
- Check the summary line by line against the official report, and correct anything that doesn't match.
- Send the summary with the official report attached, and say that the official report is the document of record.
- Keep both with the inspection file for as long as your state requires inspection records to be kept.
What goes wrong
- An AI summary that softens or adds a finding can mislead a buyer in a sale. The licensed inspector reads every word before it's sent.
- The official form, its wording and who may sign it are set by the state (in Florida, the Department of Agriculture and Consumer Services). Never replace or edit the form with an AI draft.
- Free plans have usage limits and may use chats to train models unless you turn that off in settings. Paid plans run about $20£15€18A$29C$28 a month for one person.
- Don't let the summary give a treatment price or warranty terms the company hasn't agreed to; add those yourself.
