The problem
On time-and-material work, the invoice is only as good as the timesheet, and timesheets written on Friday from memory lose hours. If a crew loses 1 billable hour a week at $95£71€85A$137C$134 and the owner spends 2 hours a week checking timesheets, that's $409£308€366A$590C$578 of unbilled work and almost 9 hours of the owner's time a month.
What the AI does
Kickserv gives every user mobile time and expense tracking on all plans, so each electrician logs time against the job as they work. The Run plan adds GPS check-ins and dispatch mapping for the office. Time-and-material invoices are built from the logged hours instead of guesses.
A worked example
A six-person electrical contractor in Kansas City, Missouri (the owner, 4 electricians and an apprentice) moves onto Kickserv Run, which covers up to 10 users, and logs every T&M job's time on site.
Before
Timesheets from memory, 2 hours a week of checking, about 1 billable hour a week lost
After
Hours logged against jobs on the day, 30 minutes a week of checking, T&M jobs billed from the logged time
What it's worth
About $700£526€626A$1,011C$989 a month, against $119£89€106A$172C$168 for Kickserv Run. That's $409£308€366A$590C$578 of time-and-material work billed that was being missed (1 hour a week at $95£71€85A$137C$134 times 4.3; counted in full, because it's billing for work already done), plus 1.5 hours a week of the owner's time at an assumed $45£34€40A$65C$64 an hour ($290£218€259A$419C$410).
How to set it up
- Choose Kickserv Run ($119£89€106A$172C$168 a month, up to 10 users) for GPS check-ins and dispatch mapping, or Start ($60£45€54A$87C$85 5 users) if you only need time tracking.
- Set up your job types and decide which jobs are time-and-material, so the team knows where time must be logged to the minute.
- Tell your crew in writing what is tracked and when; some states require written notice before an employer monitors employees electronically.
- Build each T&M invoice from the logged time, and have the owner check it before it goes out.
- After a month, compare billed hours with the old timesheets and fix any job type where time still goes missing.
What goes wrong
- Under federal and state wage law, hourly electricians are owed for every hour worked, including overtime. Never edit logged time down without talking to the electrician.
- Kickserv lists prices monthly; the page says annual billing saves 20% but doesn't show annual prices, or extra-user prices.
- Logged time only helps if people log it. Make it part of finishing every job, not a Friday chore.
