The problem

Every electrician's state license has a renewal date and continuing education hours due before it, and the company's own contractor license, insurance certificates and OSHA cards expire too. In a shop with 5 electricians that's 15 or so dates a year. If one lapses, that electrician can't legally work until it's renewed, and jobs get pushed or handed to someone else.

What the AI does

Keep every license and certification date first in the company's own compliance list, with the owner checking it monthly. Then use Connecteam as the backup: each electrician uploads their license and cards to their profile with the expiry date, and Connecteam reminds them on their phone 30, 7 and 1 days before it expires and on the day. The admin dashboard shows a countdown for documents within a week of expiring.

A worked example

A seven-person electrical contractor in Minneapolis (the owner, 5 electricians and an apprentice) tracks licenses in a spreadsheet. They keep the spreadsheet as the master list and add Connecteam's free Small Business Plan, where each person uploads their license, OSHA 10 card and CE certificates with expiry dates.

Before

About 15 renewal dates a year in one spreadsheet that only the owner looks at

After

The same 15 dates in the checked master list, plus phone reminders to each person 30, 7 and 1 days ahead

What it's worth

No money value is claimed: this is a backup so a license or certification doesn't lapse unnoticed. It costs nothing on Connecteam's Small Business Plan for up to 10 users.

How to set it up

  1. Write every license, certification and insurance renewal date into your own master list, with the CE hours due, and check it on the first of each month. That list comes first; Connecteam is the backup.
  2. Set up Connecteam's free Small Business Plan (up to 10 users, all hubs and features) and invite your team.
  3. In Documents, create a document for each license or card with a per-entry expiration date, so each person's own date drives their reminders.
  4. Have each electrician upload a photo of their license with its expiry date, and check every entry against the state board's license lookup.
  5. Add the company's contractor license and insurance certificates to the owner's profile the same way.

What goes wrong

  • Automations fail silently: a phone changes, notifications get switched off, someone uploads the wrong date. The monthly check of your own list catches what the app misses.
  • Reminders go to the user, not the admin. The owner sees a countdown only in the last week, so the master list is how you hear early.
  • Over 10 users, setting expiration dates needs the HR & Skills Expert tier, $99£74€89A$143C$140 a month billed yearly or $119£89€106A$172C$168 monthly for the first 30 users.
  • Renewal rules and CE hours vary by state and sometimes by city. Check your state board's requirements; the app only reminds.
