The problem
Arguments over extras cost money: the customer who wasn't ready, the fourth-floor flat with no lift, the parking ticket outside. If an owner writes off $40£30€36A$58C$56 of extra charges on 2 jobs a month because nothing was agreed in writing, that's $80£60€71A$115C$113 a month gone, plus an awkward conversation on the doorstep each time.
What the AI does
Write down how you actually charge: hourly rate, minimum time, what counts as waiting, stairs, dismantling, parking and congestion charges, cancellations and what you won't carry. Paste the notes into ChatGPT, Claude or Gemini and ask for a short, plain price list and booking terms that a customer can read in two minutes, using only your rules. You check every figure and send the terms with every booking confirmation.
A worked example
A man and van in Bristol does about 40 jobs a month. Prices are quoted by text with nothing written about waiting, stairs or parking.
Before
About 2 jobs a month where $40£30€36A$58C$56 of extras is written off after an argument: $80£60€71A$115C$113 a month
After
Terms sent with every booking; about 1 extra charge every 2 months still written off: about $20£15€18A$29C$28 a month
What it's worth
About $60£45€54A$86C$85 a month saved, if written terms cut written-off extras from $80£60€71A$115C$113 to about $20£15€18A$29C$28 a month; that's an assumption to measure. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- List your real charging rules: hourly rate, minimum, waiting, stairs, dismantling, parking, cancellations and items you won't move.
- Paste the list into ChatGPT, Claude or Gemini and ask for a one-page price list and short booking terms in plain English, using only your rules.
- Check every figure and delete anything you didn't write, such as an insurance promise or a guarantee.
- Ask a solicitor, your trade body or your insurer to look over the terms before you use them.
- Send the terms with every booking confirmation and ask the customer to reply to agree.
What goes wrong
- An assistant isn't a lawyer. Terms for consumers must be fair under the Consumer Rights Act 2015, and bookings made by phone or online carry cancellation rights.
- It may add cover you don't have, such as 'fully insured up to $66,500£50,000€59,500A$96,000C$94,000'. Only state limits copied from your actual policy.
- Terms nobody sees don't help. They must reach the customer before the job, not after the argument.
- Don't paste customers' names, addresses or messages into consumer AI plans.
