The problem
If you pay subcontractors under the Construction Industry Scheme, every month means checking each subbie's status, working out the deduction on the labor part of each bill, sending statements and filing the return to HMRC by the 19th. Done from a spreadsheet, that's an evening a month, and a slip means a wrong deduction or a late return with a penalty. At 4 hours a month, it's a lot of evenings for paperwork.
What the AI does
Xero works out the CIS deduction when you enter a subcontractor's bill, using CIS account codes. With Xero's $7£5€6A$10C$9 a month CIS add-on for contractors, you verify subcontractors with HMRC, file the monthly CIS return straight from Xero, check its status afterwards and email statements to all subcontractors at once. You still record the deadline in your own diary and check the return before it goes.
A worked example
A building firm in Northampton pays 4 regular subcontractors weekly and keeps its books in Xero Grow. They add the CIS add-on, verify each subbie through Xero and enter every subbie invoice as a bill with labor and materials split.
Before
About 4 hours a month on a CIS spreadsheet, the return and statements
After
About 1 hour a month checking bills and the return before filing from Xero
What it's worth
About $160£120€143A$230C$226 a month in time saved, against $59£44€52A$84C$83 for Xero Grow with the CIS add-on. That is 3 hours a month less CIS admin, at an assumed $53£40€48A$77C$75 an hour.
How to set it up
- Put the 19th of every month in your main diary as the CIS return deadline, with a named person who checks it has been filed.
- Turn on CIS in Xero as a contractor and add the CIS add-on ($7£5€6A$10C$9 a month on top of your plan, excluding VAT).
- Add each subcontractor and verify them with HMRC through Xero, so the right deduction rate is applied.
- Enter every subcontractor invoice as a bill with labor and materials on separate lines, so the deduction is only on labor.
- Before the 19th, review the return, file it from Xero, check its status, and email statements to your subcontractors.
- In a month with no subcontractor payments, follow Xero's guidance to send a nil return or tell HMRC.
What goes wrong
- Verifying, filing returns and bulk statements need the $7£5€6A$10C$9 add-on on every Xero plan; the CIS calculations alone don't file anything.
- Software can fail silently: an expired HMRC connection or a return left in draft won't file. Keep the diary reminder and check the status every month.
- A wrong split between labor and materials on a bill gives a wrong deduction. Check each bill against the subbie's invoice.
- Ignite ($24£18€21A$35C$34) allows only 10 bills a month, which weekly subbie bills plus merchant invoices will pass; this example uses Grow at $52£39€46A$75C$73.
