The problem
Turning a wedding order into a wholesale order means multiplying each design's recipe by the number needed: 8 table centers at 12 roses each, 6 bridesmaids' posies, 40 buttonholes. Done by hand for each wedding, it takes about 1.5 hours, and one wrong sum means short stems on the Friday. At 4 weddings a month in season, that's 6 hours.
What the AI does
Gemini in Google Sheets can build the sheet for you. Click Ask Gemini and describe it: a tab of designs with their stem recipes, a tab for each wedding's quantities, and a totals tab adding stems per variety with 10% spare. Google says Gemini in Sheets can create tables, formulas and pivot tables. After that, each wedding is a matter of typing quantities. It needs Google AI Pro ($25.26£18.99€22.60A$36.46C$35.70 a month) on a personal Google account, or Workspace Business Standard on a business one.
A worked example
A florist in Harrogate does about 4 weddings a month from April to September. The owner had Gemini build a stem-count sheet once, then copies the wedding tab for each booking and types the quantities.
Before
About 1.5 hours per wedding working out the wholesale order: 6 hours a month in season
After
About 30 minutes per wedding entering quantities and checking: 2 hours a month
What it's worth
About $133£100€119A$192C$188 a month saved in wedding season, against $25.26£18.99€22.60A$36.46C$35.70 for Google AI Pro. Order sums drop from 6 hours a month to 2, and 4 hours at an assumed $33£25€30A$48C$47 an hour is $133£100€119A$192C$188.
How to set it up
- Subscribe to Google AI Pro ($25.26£18.99€22.60A$36.46C$35.70 a month) on the Google account you use for Sheets.
- Open a new Google Sheet, click Ask Gemini and describe it: 'Make a Designs tab listing each design and its stems by variety, a Wedding tab for quantities of each design, and a Totals tab adding up stems per variety plus 10%, rounded up to whole bunches of 10.'
- Test it on a wedding you've already worked out by hand; the totals should match.
- Add your standard designs once, then copy the Wedding tab for each new booking.
- Send the totals to your wholesaler and keep the tab with that wedding's file.
What goes wrong
- If Gemini builds a formula wrongly, every wedding after is wrong the same way. Test it against a known order before relying on it.
- Bunch sizes and how much spare you need differ by wholesaler and flower; set them yourself rather than trusting a default.
- Google AI Pro is a personal plan on consumer terms. Keep couples' names, addresses and payment details out of the sheet, or use Workspace Business Standard (about $16£12€14A$23C$23 per user a month), which Google says isn't used to train its generative AI.
- Google AI Plus ($5.97£4.49€5.34A$8.62C$8.44 a month) has Gemini in Gmail, not Sheets.
