The problem
Supplying cafés means an invoice every week for each and chasing the ones who pay late. If a bakery invoices 6 cafés weekly (26 invoices a month) at 8 minutes each and spends 2 hours a month chasing, that's 208 + 120 = 328 minutes, 5.5 hours a month.
What the AI does
Xero's UK site says repeating invoices go out automatically on the schedule you choose, and automated reminders chase payments, emailing polite reminders to customers with outstanding invoices. Customers can pay from a button on the invoice if you connect a payment provider. Set up a weekly repeating invoice for each café's standing order, change it whenever a café changes its order, and turn on reminders. Xero Ignite is limited to 20 invoices a month, so 26 needs Grow at $52£39€46A$75C$73 a month excluding VAT.
A worked example
An independent bakery in Frome with the owner-baker and four staff, a shop counter on Square tills, delivers bread and pastries to 6 cafés on weekly standing orders and invoices them through Xero.
Before
26 invoices at 8 minutes (208 minutes) plus 2 hours chasing (120 minutes): 328 minutes, 5.5 hours a month
After
26 invoices at 2 minutes to check (52 minutes) plus 30 minutes chasing: 82 minutes, 1.4 hours a month
What it's worth
About 4.1 hours a month saved (246 minutes), worth around $109£82€98A$157C$154 if your time is worth $27£20€24A$38C$38 an hour. Xero Grow is $52£39€46A$75C$73 a month excluding VAT, about $63£47€56A$90C$88 with VAT; if you already pay for Xero the extra cost is nil. Faster payment isn't counted.
How to set it up
- Ask your accountant how to set VAT on each product, as bread, cakes and savouries may be treated differently.
- Set up each café as a contact with its standing order as a weekly repeating invoice.
- Turn on automated payment reminders and read the wording as a café owner would.
- Connect a payment provider so cafés can pay from the invoice, if you want to.
- Every Friday, check the week's changes and edit any repeating invoice before it goes out.
What goes wrong
- A repeating invoice keeps going out after a café cancels or changes its order; update it the same day.
- Xero Ignite allows only 20 invoices a month, which 6 weekly customers exceed.
- Reminders go to whatever email the café gave you; check it reaches the person who pays.
- Payment providers charge fees on invoice payments; check them before turning on the pay button.
