The problem
Cases stall waiting for documents. At 15 new cases a month, each needing about 4 chasers for payslips, bank statements and ID at 10 minutes each, that is 600 minutes, 10 hours a month, before anything goes to a lender.
What the AI does
Content Snare is a client document collection tool. You send each client a request listing the files and answers you need, and they upload through a simple portal from any device. Unlimited email reminders can be set for each request to chase what's missing. Content Snare says it is ISO 27001 certified. The case handler moves the documents into your CRM, and the adviser checks every document before it is used in any recommendation. Under UK GDPR and FCA rules the firm stays responsible for this data, so check Content Snare's data processing terms first.
A worked example
A two-adviser mortgage brokerage in Reading takes on about 15 new cases a month, with about 20 open document requests at any time. The case handler sends each new client a Content Snare request with reminder emails.
Before
15 cases a month needing about 4 chasers each at 10 minutes: 600 minutes
After
About 1 manual call per case at 10 minutes: 150 minutes
What it's worth
About $250£188€224A$361C$353 a month saved, against a $35£26€31A$50C$49 to $43£32€38A$61C$60 cost. That is 450 minutes, 7.5 hours a month, valued at $33£25€30A$48C$47 an hour. Basic is $35 (about $35£26€31A$50C$49) a month billed annually or $42 (about $43£32€38A$61C$60) monthly, for 2 users and 20 active requests.
How to set it up
- Check Content Snare's security information and data processing terms against your UK GDPR duties, and name it in your privacy notice.
- Build a request template for each case type, such as first-time buyer, remortgage and self-employed, listing every document and question.
- Send the request when the client signs your client agreement, with reminder emails switched on.
- Move documents into your CRM or case file as they arrive; the adviser reviews each one before it supports any advice.
- Close each request once the case is submitted and delete files in line with your retention policy.
What goes wrong
- Basic allows 20 active requests. A busy month needs Plus at $71 (about $70£53€63A$102C$100) a month billed annually, for 50.
- Clients upload the wrong document, or an old one. The adviser checks dates and names on everything.
- Billing is in US dollars, so the sterling cost moves with the exchange rate.
- Don't let clients send the same documents by ordinary email as well; keep one secure route.
