The problem

Every new client needs a meet-and-greet at home before the first booking, to meet the pets, collect keys and learn the house. If a sitter arranges 10 a month and each takes 15 minutes of messages to agree a time, that's 150 minutes, 2.5 hours a month.

What the AI does

Calendly's free plan has one event type and one calendar connection. Create a 30-minute meet-and-greet event with the hours you're happy to visit, list your service area in the description and connect the calendar you use for visits, so only genuinely free times show. Send the link to every new inquiry. Reminders and payments need Standard, but a free meet-and-greet doesn't need payment. At the visit, collect keys, alarm instructions and vet details into your own client records, not the booking form.

A worked example

A pet sitter in Leamington Spa meets about 10 new clients a month at their homes before the first holiday booking.

Before

10 meet-and-greets x 15 minutes of messages to fix a time: 150 minutes, 2.5 hours a month

After

About 3 minutes each to send the link and check the booking: 30 minutes a month

What it's worth

About $53£40€48A$77C$75 a month saved, at an assumed $27£20€24A$38C$38 an hour for 2 hours (150 minus 30 minutes). Calendly's free plan covers one meet-and-greet event; Standard, at $10 (about $11£8€10A$15C$15) a month billed yearly, adds reminders.

How to set it up

  1. Create a free Calendly account and connect the calendar you use for visits.
  2. Set up one 30-minute meet-and-greet event with the hours you're happy to visit, and list your service area in the description.
  3. Ask only for name, post code, phone number and pets at booking.
  4. Send the link in your reply to every new inquiry and add it to your website.
  5. At the visit, record keys and house details in your client records and sign a key receipt together.

What goes wrong

  • The free plan has no reminders, so a client may forget; move to Standard if missed meetings become a habit.
  • Slots booked back to back on opposite sides of town won't work; block travel time in your calendar.
  • Never ask for alarm codes, key safe codes or holiday dates in the booking form.
  • If the connected calendar isn't the one you really use, Calendly will offer times you're already busy.
