The problem
Each new client asks the same questions by message: what happens in a heatwave, where the key goes, whether the dog goes off lead, who walks it if you're ill. If a walker takes on 4 new clients a month and spends 45 minutes answering these each time, that's 3 hours a month.
What the AI does
Write bullet notes on how you work: pick-up windows, group sizes, off-lead rules and the recall check you use, weather and heat policy, key handling, cover when you're ill or away, and payment. Paste the notes, with no client names or addresses, into ChatGPT, Claude or Gemini and ask for a two-page welcome pack in plain English, using only your notes. Check every line against how you really work and your insurance, then send it as a PDF with each booking confirmation. Your terms and conditions stay a separate document.
A worked example
A walker in Norwich takes on about 4 new clients a month and answers the same set of questions each time over WhatsApp.
Before
4 new clients x 45 minutes of questions: 180 minutes, 3 hours a month
After
Pack sent at sign-up, about 15 minutes per client on what's left: 60 minutes, 1 hour a month
What it's worth
About $53£40€48A$77C$75 a month saved, at an assumed $27£20€24A$38C$38 an hour for 2 hours (180 minus 60 minutes). The free plans of ChatGPT, Claude and Gemini can draft a two-page pack; paid plans are up to about $27£20€24A$38C$38 a month for one person.
How to set it up
- Write bullet notes on how you work: pick-ups, group sizes, off-lead rules, weather and heat, keys, cover and payment.
- Paste them into ChatGPT, Claude or Gemini, with no client names or addresses, and ask for a two-page welcome pack using only your notes.
- Check every line against your insurance and how you really work, and delete anything the assistant added.
- Save it as a PDF and send it with every booking confirmation.
- Add to it whenever a new client asks something it doesn't answer.
What goes wrong
- An assistant may add promises you don't make, such as a fixed pick-up time or off-lead walks for every dog. Delete them.
- A welcome pack isn't a contract. Keep your terms and conditions as a separate document.
- Never paste key safe codes, alarm codes or addresses into an AI tool.
- Free plans have usage limits, though one short pack rarely reaches them.
