The problem
New executors are often grieving and have never done this before, and the first letter explaining what happens next is written afresh for each estate. If a firm takes on 8 estates a month and that explanation takes 45 minutes to write, that's 360 minutes, 6 hours of solicitor time a month.
What the AI does
You describe the type of estate in general terms, with no names or figures (for example: a house to sell, no inheritance tax expected, three adult beneficiaries), to ChatGPT, Claude or Gemini and ask for a calm, plain-English guide to the stages, what the executors will be asked for and how long each stage usually takes, using timings you supply. You check it against your own process and current gov.uk guidance, then add the names and estate details in your case system. It explains the process; it doesn't advise the executors on their estate.
A worked example
A probate team in Chester takes on about 8 estates a month. A solicitor keeps three standard estate descriptions in a saved instruction, drafts each guide from anonymised facts and checks it before it goes out with the client care letter.
Before
45 minutes to write each executor guide: 6 hours a month
After
About 15 minutes to prompt and check each guide: 2 hours a month
What it's worth
About $319£240€286A$461C$451 a month of solicitor time, if that time is worth $80£60€71A$115C$113 an hour: 30 minutes saved on each of 8 estates is 240 minutes, 4 hours. Plans run from free to about $27£20€24A$38C$38 a month for one person.
How to set it up
- Write a standing instruction: plain English, calm, the probate process in England and Wales, no advice, timings only as you supply them, and [EXECUTOR] as the name.
- Describe each estate in general terms only. No names, addresses, account details or values.
- Check the draft against your own process and current gov.uk guidance on probate and inheritance tax, and correct anything out of date.
- Add names and estate details in your case system, and have the solicitor approve the guide before it is sent.
- Keep approved versions as templates and review them when HMRC or probate registry procedures change.
What goes wrong
- An assistant can state tax thresholds, forms or deadlines that are out of date. Check every figure and form name against current gov.uk guidance.
- Consumer AI plans are not suitable for identifiable client data. Use placeholders and keep estate details in your case system.
- A guide that strays into what these executors should do about a particular asset or beneficiary is advice, and that belongs to the solicitor.
- Free plans have usage limits, so keep your approved guides saved elsewhere.
