The problem

Form E asks for every statement covering the last 12 months for each account, and in a contested financial remedy case someone then has to go through the other party's statements for large withdrawals, transfers to undisclosed accounts and regular payments, before the questionnaire is filed at least 14 days before the first appointment. Typing transactions into a spreadsheet by hand takes about 4 hours a matter; at 2 matters a month that's 8 hours of paralegal time.

What the AI does

DocuClipper converts PDF bank statements into Excel or CSV files and categorizes transactions automatically, priced by pages a month with unlimited users. Upload each account's 12 statements, export the transactions and filter them: payments over a threshold you choose, cash withdrawals, transfers to accounts that don't appear in Form E, and regular payments to the same payee. The paralegal lists each item with the statement and page it came from. The solicitor then checks each item against the PDF and decides what goes in the questionnaire; DocuClipper reads the statements, it doesn't judge what matters. Its Business plan adds cash flow, flow of funds and fraud detection analysis, but the Starter plan is enough for a spreadsheet to filter.

A worked example

A family practice in Nottingham with 4 solicitors and a paralegal has about 2 contested financial remedy matters a month reaching the questionnaire stage, each with about 150 pages of the other party's bank statements. They use DocuClipper's 300-page Starter plan.

Before

About 4 hours a matter typing and sorting transactions: 8 hours a month

After

About 1.5 hours a matter uploading, checking balances and filtering: 3 hours a month

What it's worth

About $200£150€179A$288C$282 a month of paralegal time saved, against $59£44€52A$84C$83 to $84£63€75A$121C$118 for DocuClipper's 300-page Starter plan. That's 2.5 hours saved on each of 2 matters, 5 hours, at an assumed $40£30€36A$58C$56 an hour. Starter with 300 pages is $58.84£44.24€52.65A$84.94C$83.17 a month billed annually or $84.06£63.20€75.21A$121.34C$118.82 billed monthly, shown in pounds with the page's currency switch; the page doesn't mention VAT.

How to set it up

  1. Before uploading any client documents, ask DocuClipper for its data processing agreement and how it covers UK GDPR transfers, and have your data protection lead record the decision.
  2. Test the conversion on a few of your firm's own business bank statements during the 14-day trial, not on client papers.
  3. For each matter, upload each account's statements and check that the opening and closing balance of every statement in the spreadsheet matches the PDF, so no rows are missing.
  4. Filter for payments over your threshold, cash withdrawals and transfers to accounts not in Form E, and list each with the statement date and page number.
  5. The solicitor checks every listed item against the PDF and decides what goes in the questionnaire; nothing from the spreadsheet goes to the client, the other side or the court without that check.
  6. When the analysis is done, delete the files from DocuClipper and keep the master copies in your case management system.

What goes wrong

  • Scanned or photographed statements can be misread: a wrong date or amount in a questionnaire undermines the client's case. The balance check in the steps catches most gaps, but the solicitor's check catches the rest.
  • DocuClipper's security page says it runs on Amazon Web Services without naming a region, and mentions EU Standard Contractual Clauses. Under UK GDPR, transfers need a UK safeguard such as the ICO's IDTA or Addendum, so ask before uploading. Client confidentiality under SRA Code paragraph 6.3 still applies.
  • Every page counts against the plan, including blank pages and terms printed on the back. Two matters of 150 pages fill the 300-page plan; a third needs a bigger one.
  • The automatic categories are built for bookkeeping. Whether a payment matters to the case is a judgment for the solicitor, not the software.
