The problem
A food bank needs 4 volunteers for each of 3 sessions a week, and the coordinator texts round 30 people to fill them. At about 1.5 hours a week, that is 6.5 hours a month (1.5 x 4.3), and a session still opens short-handed when someone forgets.
What the AI does
Spond is a free app for organizing groups. Its site lists single and repeating events, a participant limit that puts the next person on a waiting list, invitations to members or people outside the group, and automatic reminders to anyone who hasn't answered, sent 48 hours after the invite or 48 hours before the event. Set each weekly session as a repeating event with a limit of 4, invite the volunteer group and let people claim a place. The coordinator only steps in for gaps, and messages go to the group in the app rather than through personal phone numbers.
A worked example
A food bank in Wrexham runs 3 sessions a week with a pool of 30 volunteers, many of them retired, and a part-time paid coordinator.
Before
About 1.5 hours a week texting volunteers to fill 12 places: 6.5 hours a month
After
About 30 minutes a week filling the gaps Spond shows: 2.2 hours a month
What it's worth
About $86£65€77A$125C$122 a month in coordinator time saved, at no cost. 4.3 hours a month saved (6.5 minus 2.2), valued at an assumed $20£15€18A$29C$28 an hour. The Spond app is free; fees apply only if you collect payments through it, which this use case doesn't.
How to set it up
- Create a Spond group for your volunteers and invite them by their preferred contact details.
- Set up each weekly session as a repeating event with a limit of 4 places so extra sign-ups go on the waiting list.
- Turn on automatic reminders for people who haven't answered.
- Agree a rule for dropping out: cancel in the app at least a day before so the next person on the waiting list is offered the place.
- Keep a short phone list for the few volunteers who won't use an app, and add them to sessions yourself.
What goes wrong
- Spond is built mainly for sports teams, so some wording in the app will feel odd at first. Test it with 5 volunteers before moving everyone.
- Reminder timing is set by Spond (48 hours after the invite or before the event); you can't choose your own intervals.
- Don't record health conditions, DBS details or safeguarding notes in the app. Keep those in your proper volunteer records.
- Some older volunteers won't use an app at all. Running two systems side by side for a while is normal.
