The problem
Appeal leaflets, social posts and annual report pages are made in Word by whichever volunteer has time, and each looks different. A charity making 4 designs a month at about 2 hours each spends 8 hours a month; paying a freelance designer at an assumed $80£60€71A$115C$113 a design would cost $319£240€286A$461C$451 a month instead.
What the AI does
Canva's nonprofit program gives registered charities free access to all Canva Pro features plus team tools for one team of up to 50 users. That includes brand kits for your colors, fonts and logo, premium templates, Canva's AI assistant that turns a written or spoken idea into a design, and scheduling for social posts. Set up the brand kit once, save a template for each kind of design and let volunteers adapt them, so a leaflet, three social posts and a poster come from one design. Canva's eligibility guidelines list the documents needed for each country.
A worked example
A two-staff mental health peer support charity in Hull, registered with the Charity Commission, produces a monthly appeal post set, a leaflet for events, a poster and a page for its annual report.
Before
4 designs a month at about 2 hours each in Word: 8 hours
After
4 designs from saved templates and the brand kit at about 45 minutes each: 3 hours
What it's worth
About $100£75€89A$144C$141 a month in time saved, at no cost. 5 hours a month saved (8 minus 3), valued at an assumed $20£15€18A$29C$28 an hour. Canva Nonprofits is free for eligible registered charities; without it, Canva Pro is €110 (about $126£95€113A$182C$179) a year for one person.
How to set it up
- Read Canva's nonprofit eligibility guidelines for the UK and gather your charity registration documents.
- Apply for Canva Nonprofits and, once approved, invite the staff and volunteers who make designs.
- Set up the brand kit with your logo, colors, fonts and charity number.
- Make one template each for an appeal post, an event leaflet and a poster, and lock the logo and wording that must not change.
- Before anything goes out, have a second person check facts, figures and the consent for every photo of a person.
What goes wrong
- Approval isn't instant, and organizations that aren't registered charities may not qualify. Canva's free plan still works meanwhile.
- AI-generated designs and text can include claims you can't stand behind. Appeals must not mislead, under the Fundraising Regulator's code.
- Photos of beneficiaries need their written consent; mental health and other sensitive stories need extra care.
- When volunteers leave, remove them from the Canva team so they keep no access to your designs.
