The problem

Welcome, coffee, readers, PA, prayer ministry, kids' church: a church of 150 adults can have 8 rotas, kept in spreadsheets and swapped over WhatsApp. If the administrator spends 2 hours a month building them and about 1 hour a week chasing swaps and reminding people, that is 6.3 hours a month (2 + 4.3), and a Sunday still starts with no one on coffee.

What the AI does

ChurchSuite is UK church management software. Its Rotas module sets up rotas with customizable team rotations or ad hoc dates, sends automated reminders by email or SMS so people know when they're on, and detects clashes when someone is unavailable or already serving on another rota. Members record holidays, swap dates themselves and see who they're serving with, and leaders can email a whole team at once. The administrator sets the pattern once a term and deals only with the clashes ChurchSuite flags.

A worked example

A parish church in Exeter with about 150 adults on its address book runs 8 serving teams across Sunday morning and a midweek toddler group. A part-time administrator keeps the rotas.

Before

About 6.3 hours a month building rotas and chasing swaps and reminders

After

About 1.5 hours a month setting rotations and sorting flagged clashes

What it's worth

About $96£72€86A$138C$135 a month in administrator time saved, against about $28£21€25A$40C$39 for ChurchSuite. 4.8 hours a month saved (6.3 minus 1.5), valued at an assumed $20£15€18A$29C$28 an hour. ChurchSuite prices include VAT and depend on active contacts: for 100 to 199 contacts the Address Book plus one module is $27.27£20.50€24.40A$39.36C$38.54 a month, and the full Suite is $60.52£45.50€54.15A$87.36C$85.54. SMS reminders may cost extra; check in your account.

How to set it up

  1. Start ChurchSuite's 30-day free trial with the Address Book and the Rotas module.
  2. Import your people, then create one rota for each team with its roles and rotation pattern.
  3. Ask everyone to log in on the app, record holidays and check their dates.
  4. Turn on automated reminders by email, and by SMS only if you've checked the cost.
  5. Run the old and new systems side by side for one month, then retire the spreadsheet.

What goes wrong

  • People who never log in still get missed. Reminders only help if their email address or mobile number is right in the address book.
  • Price rises with contacts and modules. If you also add Giving, Children or Bookings, the Suite ($60.52£45.50€54.15A$87.36C$85.54 at 100 to 199 contacts) is cheaper than adding modules one by one.
  • Members' details are personal data under UK GDPR, and serving in some roles (children's work) reveals more. Limit who can see what.
  • Swaps made outside ChurchSuite (a quick text) won't show on the rota. Agree that every swap goes through the app.
