The problem
On a busy Sunday, 25 children are signed in on paper, while consent and medical forms sit in a filing cabinet. If leaders spend 20 minutes each Sunday on the register and checking forms (86 minutes a month) and 25 consent forms are refreshed 3 times a year at 5 minutes each (375 minutes a year, 31 a month), that is about 2 hours a month. Worse, in a fire alarm or an allergic reaction nobody has the right sheet to hand.
What the AI does
ChurchSuite's Children module has child check-in built in, links children to their parents across the address book, sorts them by age group and keeps consents, medical and special needs information in one place to share with the staff who need to know. Through My ChurchSuite, parents give or refuse permission for photos and videos and say how images may be used. Notes can be restricted to certain users. Children in this module don't count as billable contacts. The safeguarding lead decides who can see what, in line with the church's safeguarding policy.
A worked example
A Baptist church in Swindon has about 120 adult contacts and 25 children in Sunday groups for three age bands, run by a rota of volunteer leaders and a safeguarding lead.
Before
About 2 hours a month on paper registers and consent forms, with no live register in an emergency
After
About 40 minutes a month checking new families and updated consents in ChurchSuite
What it's worth
About $27£20€24A$38C$38 a month in volunteer time saved, against about $28£21€25A$40C$39 for ChurchSuite, so the time roughly pays for it; the main gain is an accurate register and consents to hand. 1.3 hours a month saved (2 minus 0.7), valued at an assumed $20£15€18A$29C$28 an hour. ChurchSuite prices include VAT and depend on active contacts: for 100 to 199 contacts the Address Book plus one module is $27.27£20.50€24.40A$39.36C$38.54 a month, and the full Suite is $60.52£45.50€54.15A$87.36C$85.54.
How to set it up
- Agree with your safeguarding lead what information is collected, who can see it and how long it is kept, and write that into your policy.
- Start the trial with the Address Book and Children modules and link each child to their parents.
- Ask parents to complete consents, medical notes and photo permissions through My ChurchSuite.
- Check what devices and printers check-in needs, then test it on a quiet Sunday with a paper register as backup.
- Each term, ask parents to review their child's details and remove leavers' records in line with your policy.
What goes wrong
- Medical and special needs details are special category data under UK GDPR. Restrict them to the people who need them and never copy them into personal phones or chat groups.
- A system only helps if leaders use it. A paper register must still exist for power or Wi-Fi failures.
- Photo consent changes; check the current setting before posting any picture, not the one from September.
- Safeguarding decisions stay with the safeguarding lead and your denomination's policy, not the software.
