The problem
A missed visit can mean someone left without medication, food or help to the toilet, and the office often finds out when a relative rings. To catch problems, many offices ring round carers through the day: 45 minutes a day, 7 days a week, is about 22.6 hours a month, plus 6 hours checking paper timesheets.
What the AI does
CareLineLive's Bring Your Own Device plan gives carers the Carer Companion app on their own phones. Its site says visits are recorded with GPS and QR code scanning, logging location and check-in and check-out times, and that completion statuses trigger alerts the office sees in the management portal. Carers are notified instantly of rota changes. The office watches for visits without a check-in instead of ringing everyone, and the same records feed invoicing and payroll. The site doesn't spell out how late-visit alerts are set, so agree that with CareLineLive during onboarding.
A worked example
A home care agency in Norfolk has 15 carers covering rural rounds. The office manager used to ring carers three times a day to confirm visits and spent a day a month on paper timesheets.
Before
Ringing round 45 minutes a day plus timesheet checks: about 28.6 hours a month
After
Watching the portal for missing check-ins and following up exceptions: about 6 hours a month
What it's worth
About $479£360€428A$691C$677 a month of office time saved, against about $394£296€352A$568C$556 for CareLineLive. That is 22.6 hours at an assumed $21£16€19A$31C$30 an hour. The cost is 15 carers at $26.20£19.70€23.44A$37.82C$37.04 on the Bring Your Own Device plan, plus a one-off onboarding fee of up to $399£300€357A$576C$564. The bigger gain is safety: a missed call shows up while there is still time to send someone.
How to set it up
- Agree with CareLineLive how missing or late check-ins are flagged and who in the office sees them, including evenings and weekends.
- Put a QR code in each client's home where there is poor phone signal, with the client's agreement.
- Tell carers what location data is collected, when (only during visits) and why, and update your staff privacy notice.
- Set a rule for the on-call manager: a visit with no check-in after a set time gets a phone call straight away.
- Review missed and late visits weekly and record what you did about each one; CQC will ask.
What goes wrong
- Rural areas with no signal can show a visit as missing when the carer is there. Test every round before relying on it.
- Carers' location is personal data. Collect it only during visits and don't use it for anything you haven't told them about.
- It only works if someone watches it. Alerts at 7am on a Sunday need a named person on call.
- Contracts are typically 12 months, and the price is per carer, so it rises with every new starter.
