The problem
Complaints about late visits, carer changes or missed tasks land on the registered manager, who must reply carefully and on time. At 3 written complaints a month and 75 minutes to draft each reply, that's nearly 4 hours a month, usually after the office closes.
What the AI does
Once the facts are established from visit records and the carers involved, the manager types a summary into ChatGPT, Claude or Gemini with no names, addresses, dates of birth or health details. They ask for an acknowledgment and a response that follows the agency's complaints policy, in a calm, plain tone, and that says what will change. The manager then checks every fact against the records, adds the personal details in their own system and signs the reply. CQC's regulation on receiving and acting on complaints still applies, and where harm occurred, so does the duty of candour.
A worked example
A home care agency in Bolton gets about 3 written complaints a month, mostly about late evening visits and changes of carer. The registered manager drafts each reply from an anonymised summary, then edits and signs it.
Before
75 minutes to draft each of 3 replies: 3.75 hours a month
After
35 minutes to check, edit and sign each reply: 1.75 hours a month
What it's worth
About $67£50€60A$96C$94 a month of manager time saved (2 hours at $33£25€30A$48C$47 an hour), for nothing on a free plan or up to about $27£20€24A$38C$38 a month on a paid one.
How to set it up
- Investigate first: pull the visit records, speak to the carers and decide what happened and what will change.
- Write a short summary with no names, addresses, health details or anything else that identifies the client or staff.
- Paste it into ChatGPT, Claude or Gemini and ask for a reply that follows your complaints policy, apologizes where appropriate and sets out the actions.
- Check every sentence against the records, add the personal details in your own system and sign it as the registered manager.
- Log the complaint, reply and actions in your complaints record for CQC.
What goes wrong
- Never paste client names, care notes or health details into a free AI account. Anonymise first, or use a business plan with data processing terms.
- A draft can promise things the agency can't deliver, such as the same carer every visit. Cut any promise you won't keep.
- If harm was caused, the duty of candour has its own requirements. Check them before sending, not after.
- A polished reply doesn't fix the problem. The actions matter more than the wording.
