The problem
Childminders are self-employed, and Making Tax Digital for Income Tax is arriving in stages. GOV.UK says sole traders with qualifying income over $39,900£30,000€35,700A$57,600C$56,400 in 2025 to 2026 must use it from 6 April 2027, and over $26,600£20,000€23,800A$38,400C$37,600 in 2026 to 2027 from 6 April 2028. A childminder with $55,860£42,000€49,980A$80,640C$78,960 of qualifying income in 2025 to 2026 needs digital records and quarterly updates from April 2027, and a spreadsheet of receipts takes about 2 hours a month.
What the AI does
Xero's UK pricing page lists every plan, including Ignite at $24£18€21A$35C$34 a month, as ready for Making Tax Digital for Income Tax, with bank feeds and receipt capture. The childminder connects their business bank account, so income and costs arrive automatically, and photographs receipts for food, toys and resources. Each quarter they check the figures and send the update. Deadlines go in the childminder's main diary first, with the Xero reminders only as a back-up.
A worked example
A childminder in Bath had $55,860£42,000€49,980A$80,640C$78,960 of qualifying income in the 2025 to 2026 tax year, so Making Tax Digital applies from April 2027. They set up Xero Ignite in the autumn and run it alongside their spreadsheet until the first quarter.
Before
About 2 hours a month keeping a spreadsheet of income and receipts
After
About 45 minutes a month checking bank feed entries and photographing receipts
What it's worth
About $25£19€23A$36C$36 a month of the childminder's time saved (1.25 hours at an assumed $20£15€18A$29C$28 an hour), roughly the same as the $24£18€21A$35C$34 Ignite fee. The main reason to do it is that HMRC will require digital records and quarterly updates. New UK customers get 90% off for the first 6 months; automatic bank reconciliation on Ignite is a $4.66£3.50€4.17A$6.72C$6.58 a month add-on.
How to set it up
- Check your qualifying income on GOV.UK to see when Making Tax Digital applies to you.
- Write the quarterly update deadlines from GOV.UK into your main diary or calendar, with a reminder a week before each.
- Sign up for Xero Ignite, connect your business bank account and set categories for food, resources and household costs.
- Photograph receipts each week and check the bank feed entries monthly.
- Before each deadline, check the quarter's figures yourself or with your accountant before sending.
What goes wrong
- Bank feeds can disconnect without warning, leaving gaps in your records. Check the feed is up to date before every quarterly update.
- Software reminders are a back-up only. Keep the deadlines in your own diary, and check them against GOV.UK each year.
- Ignite is limited to 20 invoices a month. If you invoice parents from another system, such as your childcare app, that limit may not matter.
- Working out how much of your home costs you can claim is a tax judgment. Ask an accountant or HMRC's guidance, not the software.
