The problem
Reviews pile up unanswered because the barber is cutting, and a rushed reply to a bad one makes things worse. If you get 15 reviews a month and each reply takes 8 minutes, that's 120 minutes a month.
What the AI does
Paste the review text into ChatGPT, Claude or Gemini and ask for a short, friendly reply that thanks the person and, for a complaint, invites them to call or message the shop. You edit it and post it from your own Google account. Ask every client for a review in the same neutral way, for example with a QR code by the mirror, and never offer a free cut, discount or entry into a draw in return. Fake and incentivised reviews are banned under the Digital Markets, Competition and Consumers Act 2024. The assistant never writes a review, only replies to real ones.
A worked example
A barbershop in Falkirk gets about 15 Google reviews a month and the owner replies in a batch on Sunday evenings.
Before
8 minutes a reply: 15 x 8 = 120 minutes a month
After
About 3 minutes to check and post each one: 15 x 3 = 45 minutes a month
What it's worth
About 75 minutes a month saved (15 x 5 minutes), worth around £31 if your time is worth £25 an hour. Free plans are enough; paid plans run from about £4 to about £20 a month for one person.
How to set it up
- Paste the review text, without the reviewer's name, into your assistant.
- Ask for a short, warm reply and, for a complaint, an invitation to contact the shop directly.
- Read it, make it sound like you, and post it from your Google Business Profile.
- Put a QR code to your review page by the mirror, so every client is asked in the same way.
- Handle real complaints yourself, by phone, and don't argue in public.
What goes wrong
- Giving a free cut or discount for a review, or asking only clients you expect to be happy, breaches the 2024 Act. Treat every client the same.
- Never have an AI write, edit or invent reviews, and don't ask staff or friends to post them.
- Identical replies read as automated. Change the wording each time.
- Don't reveal a client's details, haircut or booking in a public reply.
