The problem
Enquiries need a personal answer fast, and each takes thought. If a photographer gets 30 enquiries a month and spends 12 minutes writing each reply, that's 360 minutes, 6 hours a month.
What the AI does
Paste an enquiry into ChatGPT, Claude or Gemini with your packages, prices and availability and ask for a friendly reply that answers their questions. For booked clients, ask for a draft shot list from what they told you. Remove names and contact details first. Read and personalise every reply, check dates and prices, and send it yourself. Shot lists go to the couple to check. Follow-up marketing emails need consent under PECR; a reply to an enquiry is fine.
A worked example
A wedding photographer in York receives about 30 enquiries a month and replies to each by hand with a different mix of package and date details.
Before
30 enquiries at 12 minutes per reply: 360 minutes, 6 hours a month
After
If a draft plus a personal edit takes about 5 minutes each: 150 minutes, 2.5 hours a month
What it's worth
About 3.5 hours a month saved (210 minutes), worth about £123 at £35 an hour, if the edit takes about 5 minutes (an assumption to test). The free plans of ChatGPT, Claude and Gemini can do this; a paid plan costs up to about £20 a month for one person if you hit usage limits.
How to set it up
- Write down your packages, prices, what is included and your availability rules.
- Paste an anonymised enquiry and your details into ChatGPT, Claude or Gemini and ask for a reply in your voice.
- Add the couple's names and the specific details yourself, and check dates and prices.
- For booked clients, draft a shot list from their answers and send it to the couple to confirm.
- Keep a copy of replies in your booking system as the record of what you offered.
What goes wrong
- An assistant can promise availability, prices or extras you don't offer. You are bound by what you send.
- Couples' details are personal data. Keep names, venues and contact details out of consumer AI plans.
- Don't use drafted replies to start marketing emails without consent; PECR applies to marketing.
- A shot list is not a guarantee. Say in your terms what you can and can't photograph at a venue.
