The problem

Clients send tax return information by email in no order, and you reply to each to say it arrived and what is still needed. If you get 40 intake forms a month and each acknowledgement and check takes 5 minutes, that's 200 minutes, 3.3 hours a month.

What the AI does

Build a Google Form that asks for the client's name, email and tax year, and links to a secure upload route. A two-step Zapier automation starts on each new response and sends the client a standard email acknowledging it and listing the documents usually needed, with your own cut-off date for records. The automation doesn't read or check what was sent. You check the submission yourself.

A worked example

A tax adviser in Edinburgh handles 150 Self Assessment clients and gets about 40 intake forms a month in the run-up to filing. A standard acknowledgement goes out automatically, and she checks each submission against a document list.

Before

5 minutes to acknowledge and check each of 40 forms: 200 minutes, 3.3 hours a month

After

About 1.5 minutes to check each: 60 minutes, 1 hour a month

What it's worth

About 2.3 hours a month saved (3.5 minutes x 40 forms = 140 minutes), worth around £93 if your time is worth £40 an hour. Zapier's Free plan covers two-step Zaps and 100 tasks a month, so 40 forms is within it. This assumes free Google accounts for Sheets, Calendar and Forms.

How to set it up

  1. Record your clients' filing and payment deadlines in your primary diary or practice system first, with a human check.
  2. Build a Google Form for the intake and choose where files will be sent securely, not through the form.
  3. Write the acknowledgement email, with a list of usual documents and your own records cut-off date.
  4. In Zapier, start a Zap on each new form response and add one action: send the email.
  5. Test with a dummy response and read the email as the client would.

What goes wrong

  • The email confirms receipt only. It doesn't tell the client their return is on track, and your filing deadline is tracked elsewhere.
  • Zapier can fail without telling you. Compare form responses with emails sent every week.
  • The form and Zapier hold personal data, so check privacy notices and the Zapier data processing terms for UK GDPR.
  • Zapier's Free plan allows two-step Zaps and 100 tasks a month; more steps need Pro at $19.99 (about £15) a month on annual billing.
