Food cost tracking for restaurants: invoices read for you

MarginEdge reads supplier invoices, tracks ingredient prices and costs your recipes, so price rises show up in days. From $315£237€282A$455C$445 a month.

The problem

When beef or fryer oil goes up, many owners find out at month-end, after a month of thinner margins. Keying invoices by hand takes time too. If you get 60 invoices a month at 6 minutes each, that's 6 hours of data entry, and a price rise left alone for 8 weeks can cost more than the software.

What the AI does

Staff photograph each supplier invoice in the MarginEdge app. MarginEdge processes unlimited invoices, tracks the price of every item, costs recipes and menu items, and gives a daily controllable P&L with food and labor costs from your POS, then syncs to your accounting software. The owner reviews price changes weekly and decides whether to switch suppliers, adjust portions or change menu prices.

A worked example

A 90-seat American restaurant in Atlanta buys about $29,000£21,805€25,947A$41,865C$40,992 of food and drink a month from five suppliers and gets about 60 invoices a month. The bookkeeper keys them into the accounting system, and recipe costs were last updated a year ago.

Before

About 6 hours a month keying invoices; price rises spotted at month-end

After

About 1 hour a month snapping invoices; weekly price alerts trim purchases by an assumed 1%

What it's worth

About $440£331€394A$635C$622 a month saved: $290£218€259A$419C$410 from trimming purchases by an assumed 1% of $29,000£21,805€25,947A$41,865C$40,992 plus $150£113€134A$217C$212 of time (5 hours a month at $30£23€27A$43C$42). That is against $315£237€282A$455C$445 a month billed annually or $350£263€313A$505C$495 monthly for one location. The 1% is an assumption; MarginEdge's price tracking shows whether you reach it.

How to set it up

  1. Start MarginEdge ($350£263€313A$505C$495 a month per location monthly, or 10% off billed annually) and connect your POS and accounting software.
  2. Have whoever receives deliveries photograph every invoice the same day, credits and returns included.
  3. Enter recipes for your 20 best-selling dishes first, with portion sizes, so menu costs update as prices change.
  4. Review price changes every Monday and act on the biggest three: call the supplier, compare another, or reprice the dish.
  5. Leave sales tax on menu prices to your POS; MarginEdge tracks costs, not the tax you charge.

What goes wrong

  • Toast users pay a pass-through API fee plus $50£38€45A$72C$71 a month per location for Toast's Restaurant Management Suite.
  • Annual plans are cheaper, but canceling early means paying the rest of the 12 months.
  • Recipe costs are only as good as the recipes entered. Out-of-date portions give false comfort.
  • Onboarding packages are sold separately and the page doesn't price them.
