The problem
A cleaning company's income is its regular clients, but they often live on a whiteboard, a spreadsheet and the owner's memory. If rolling next week's schedule forward, fitting in a new biweekly client and texting reminders takes the owner 3 hours a week, that's about 13 hours a month (3 × 4.3), or about $387£291€346A$559C$547 at an assumed $30£23€27A$43C$42 an hour.
What the AI does
ZenMaid is scheduling software for residential cleaning companies, with calendar, dispatch and map views of which cleaner goes where. On the Pro plan, Spotfinder helps schedule new recurring customers, and automated text and email templates send appointment reminders and confirmations to clients and cleaners before each clean. Pro also adds digital checklists, reports and payroll. The owner's weekly job becomes checking the schedule rather than building it.
A worked example
An illustrative example built from typical figures, not a named business.
A house cleaning company in Denver with the owner and 6 cleaners has about 80 regular clients: 20 weekly and 60 biweekly, about 215 cleans a month (20 × 4.3 + 60 × 2.15), with a typical biweekly clean at $165£124€148A$238C$233. They move every client into ZenMaid Pro: $39£29€35A$56C$55 a month plus $14£11€13A$20C$20 for each of the 6 cleaners, $123£92€110A$178C$174 plus text bundles.
Before
About 3 hours a week rolling the schedule forward and texting reminders
After
About 45 minutes a week checking the schedule and handling skipped cleans
What it's worth
About $290£218€259A$419C$410 a month of the owner's time saved, against about $137£103€123A$198C$194 to $151£114€135A$218C$213 for ZenMaid Pro with 6 cleaners and texts. That is 2.25 fewer hours a week on the schedule (about 9.7 hours a month) at an assumed $30£23€27A$43C$42 an hour.
How to set it up
- Count your cleans a month (weekly clients × 4.3 plus biweekly × 2.15) and your users: the owner is included, and each cleaner or office manager is $14£11€13A$20C$20 a month on Pro.
- Add each regular client with frequency, usual day, time window, price, entry instructions and pets.
- Use Spotfinder when a new client asks for a recurring clean, so they go into a day and area a cleaner already works.
- Set up the client reminder and confirmation templates and the cleaners' messages, and buy a text bundle sized to your cleans.
- Get each client's consent to texts when they sign up, keep reminders to appointment details, and ask ZenMaid how its texting handles A2P 10DLC registration.
What goes wrong
- The base price covers the owner only. Seven people on Pro is $39£29€35A$56C$55 + 6 × $14£11€13A$20C$20 = $123£92€110A$178C$174 a month before texts.
- Texts are extra: bundles start at $14£11€13A$20C$20 for 125 messages, so one reminder for each of 215 cleans needs two bundles. Larger bundle prices aren't on the pricing page.
- Starter ($19£14€17A$27C$27) stops at 40 appointments a month, which a team this size passes in the first week.
- Holidays and client vacations still need a weekly check before reminders go out, or cleaners show up at empty homes.
