The problem
Notes pile up after a full day of sessions. A therapist seeing 25 clients a week who spends 10 minutes on each progress note writes for about 18 hours a month (25 x 10 x 4.3 = 1,075 minutes), often in the evening.
What the AI does
Upheal's AI Notes plan ($39£29€35A$56C$55 a month flat, unlimited sessions) drafts a progress note from a recorded session, a telehealth call, your dictation or an upload, and can draft treatment plans. The therapist reads the draft, corrects it and signs it; the note stays the clinician's record. Recording needs the client's informed consent: Upheal can email a consent request or supply a template, and some states require every party's consent to a recording, so check the law where you and the client are. A client who declines can still get a note from your dictated summary after the session. HIPAA: every covered entity agrees to Upheal's BAA on sign-up, and a copy comes in the welcome email.
A worked example
A licensed clinical social worker in private practice in Portland, Oregon, sees 25 clients a week, about half by telehealth, and moves from typing notes to Upheal AI Notes for clients who consent.
Before
10 minutes per progress note: about 18 hours a month
After
4 to 5 minutes to review and edit each draft: 7 to 9 hours a month
What it's worth
About $672£505€601A$970C$950 a month of your time, against $39£29€35A$56C$55 for Upheal AI Notes. Saving 5 to 6 minutes on each of about 107 notes a month is 9 to 10.75 hours; if an hour of your time is worth $75£56€67A$108C$106 that's $672£505€601A$970C$950 to $806£606€721A$1,164C$1,139. Upheal's free plan drafts from typed or dictated summaries for individual therapy if you'd rather not record.
How to set it up
- Read Upheal's Business Associate Agreement, which covered entities accept on sign-up, and file the copy from your welcome email with your HIPAA records.
- Update your informed consent: what is recorded, by which vendor, how long audio and transcripts are kept, that you review every note, and that the client can say no at any time without affecting care.
- Check your state's recording law, and for telehealth the state the client is in during the session; where all-party consent applies, get it from everyone present, including family members in couples or family work.
- Start with a few consenting adult clients, read every draft against your memory of the session, correct it and sign it.
- Keep psychotherapy notes, if you write them, separate from the progress note the AI drafts.
What goes wrong
- A draft can attribute words to the wrong person, miss risk language or add an intervention you didn't use. You sign the note, so read it properly, especially anything about safety.
- Some clients agree to recording to please their therapist. Ask again later and make declining easy.
- Recording in a shared office, or with a family member in the room, captures people who haven't consented.
- The free plan covers individual therapy only and doesn't draft from recordings; that needs the $39£29€35A$56C$55 plan.
