The problem
Each event needs a poster for the noticeboard, a social post and something for the parish magazine. A volunteer making them for 6 events a month at about 1.5 hours each spends 9 hours a month, starting from a blank page every time.
What the AI does
Canva's nonprofit program gives registered charities free access to all Canva Pro features plus team tools for one team of up to 50 users. Set up a brand kit with the center's colors and logo, save one poster template per kind of event (film, quiz, fair, class) and resize each finished poster into a social post and a magazine advert. Canva's AI assistant can turn a written idea into a first design to adjust, and posts can be scheduled from Canva. Several volunteers can share the work under one team.
A worked example
A community center in Kendal run by a registered charity holds about 6 events a month, from film nights to craft fairs, and has two volunteers who do the publicity.
Before
6 events a month at about 1.5 hours each for posters and posts: 9 hours
After
6 events from saved templates at about 30 minutes each: 3 hours
What it's worth
About $120£90€107A$173C$169 a month in volunteer time saved, at no cost. 6 hours a month saved (9 minus 3), valued at an assumed $20£15€18A$29C$28 an hour. Canva Nonprofits is free for eligible registered charities; without it, the free plan still works with fewer features.
How to set it up
- Check the center is run by a registered charity and read Canva's UK eligibility guidelines.
- Apply for Canva Nonprofits and invite the volunteers who do publicity.
- Set up the brand kit and make one template for each regular kind of event.
- For each event, fill in the template, resize it for social media and the magazine, and schedule the posts.
- Have a second person check dates, times and prices before anything is printed or posted.
What goes wrong
- Centers run by a parish or town council aren't eligible, because Canva excludes government bodies. They can use the free plan.
- Approval needs documents and can take time.
- Photos of children or of people at events need consent before they appear on posters or social media.
- AI designs can include stock images or wording that don't match the event; check every element.
