The problem
Families choosing a care home read reviews before they ring. A home with a handful of reviews from years ago looks quiet next to one with recent comments. An empty room at $1,463£1,100€1,309A$2,112C$2,068 a week is about $6,251£4,700€5,593A$9,024C$8,836 a month in lost fees, so being picked a little sooner matters.
What the AI does
A Google Business Profile is free. Google's help pages say customers can be asked to leave a review through a Google link or by scanning a QR code. The manager asks families at natural moments, such as after a positive care review meeting or a few months after a resident settles in, by email or with a card at reception. Google prohibits offering anything in return for a review. When replying to any review, the home thanks the reviewer without confirming that a named person lives there or saying anything about their care.
A worked example
A 30-bed residential home in Taunton has 6 Google reviews, the newest two years old. The manager gets the review link and QR code and asks families after care review meetings.
Before
6 reviews, the newest two years old
After
About 2 new reviews a month from families, with every review answered
What it's worth
About $120£90€107A$173C$169 a month in profit, if more recent reviews fill one room a week sooner once a quarter. That is $1,463£1,100€1,309A$2,112C$2,068 four times a year, $5,852£4,400€5,236A$8,448C$8,272 at an assumed 25% margin: $1,463£1,100€1,309A$2,112C$2,068 a year, about $120£90€107A$173C$169 a month. It costs nothing but about an hour a month of the manager's time.
How to set it up
- Claim or check your Google Business Profile and make sure the address, phone number and photos are current.
- Get your review link and QR code from the profile.
- Decide when the manager asks, such as after a good care review meeting, and ask each family personally.
- Reply to every review, thanking the reviewer without naming any resident or mentioning their health or care.
- Never ask a recently bereaved family on a schedule; leave that to the manager's judgment.
What goes wrong
- Replying "so glad your mother settled in after her fall" confirms someone is a resident and discloses health information. Keep replies general.
- Offering anything in return for a review breaks Google's rules and can get reviews removed.
- Asking only the happiest families gives a skewed picture. Ask consistently, and answer critical reviews calmly.
- Staff should not review their own home or ask friends to.
