The problem
Clients on extension still owe K-1s, brokerage statements and cost basis figures in summer, and the office chases each one by email and phone until October. At 6 chases of 8 minutes for each of 45 clients, that's 2,160 minutes, 36 hours from May to October, 6 hours a month.
What the AI does
Content Snare is a document collection tool. You send each extension client a request listing exactly what's still missing, the client uploads files and answers questions through a simple portal, and automatic email reminders keep going until the items arrive. You see at a glance who has sent what. The October 15 extended due date for each client lives first in your tax software and your own due-date list, checked by a person; Content Snare only chases documents.
A worked example
A tax office in Charlotte with two preparers puts about 45 individual clients on extension each April, most waiting on K-1s or brokerage forms. In May it sends each one a Content Snare request from a template, with the office's own cut-off of September 1.
Before
About 48 minutes of chasing per client over the summer: 6 hours a month
After
About 12 minutes per client, mostly calls to stragglers: 1.5 hours a month
What it's worth
About $180£135€161A$260C$254 a month saved from May to October, against a $71£53€64A$102C$100 to $85£64€76A$123C$120 cost. That's 4.5 hours a month (6 less 1.5) at an assumed $40£30€36A$58C$57 an hour. Plus covers 5 users and 50 active requests: $71£53€64A$102C$100 a month billed annually, or $85£64€76A$123C$120 a month billed monthly for just the six months.
How to set it up
- Record every extension client's extended due date in your tax software and your primary due-date list first, and have a second person check the list.
- Build a request template for extension clients with upload areas for K-1s, brokerage forms and cost basis, and a question for anything else that changed.
- Set the reminder schedule and your own document cut-off, well before October 15.
- Each week, check who is still missing items and phone anyone who hasn't responded to two reminders.
- Once a month, check that the reminders actually went out; an email tool can fail without anyone noticing.
What goes wrong
- Basic at $35£26€31A$51C$49 allows only 20 active requests, so 45 clients need Plus. Close requests once complete to stay under 50.
- Reminders can stop silently or land in spam. The due-date list in your own system is the record, and a person checks it weekly.
- A client who never uploads still needs a decision before October 15. The preparer decides how to file with what's in hand; the tool can't.
- Content Snare will hold tax documents, so list it in your written information security plan under the FTC Safeguards Rule (IRS Publication 5708).
