The problem
Clients who pay quarterly estimated tax forget a due date, face an underpayment penalty and call the firm to ask why. If you email 90 clients their amount and due date each quarter and chase confirmations at 8 minutes a client, that's 720 minutes a quarter, about 4 hours a month.
What the AI does
Financial Cents is workflow software for accounting firms. A recurring job creates itself each quarter with its due date, and a client task asks each client to confirm the payment or upload the confirmation through a branded portal. On the Scale plan the client task follows up automatically until it's done, and AI checks each upload against what was asked for. The amounts and due dates live first in the tax software's estimate schedule and the firm's own due-date list, checked by a person; Financial Cents is a second reminder, not the record.
A worked example
An illustrative example built from typical figures, not a named business.
A solo CPA in Tampa has 90 individual and small-business clients who pay quarterly estimates. After each return, she records the estimate amounts and due dates in her tax software and her due-date list, then sets up a quarterly client task in Financial Cents for each client.
Before
8 minutes a client each quarter for 90 clients: about 4 hours a month
After
About 2 minutes a client to check who confirmed: about 1 hour a month
What it's worth
About $180£135€161A$260C$254 a month saved, against a $69£52€62A$100C$98 cost. That's 3 hours (4 less 1) at an assumed $60£45€54A$87C$85 an hour for the CPA's time. Scale is $69£52€62A$100C$98 a user a month billed annually; a solo firm can't take monthly billing, which needs 5 users.
How to set it up
- Record each client's estimate amounts and due dates in your tax software and your primary due-date list first, and have a second person or a second look check them.
- Set up a recurring quarterly job in Financial Cents with a client task: confirm the payment or upload the confirmation.
- Turn on automatic follow-ups for the client task, which needs the Scale plan.
- Each due date, compare the confirmations against your due-date list and call anyone who hasn't answered.
- Once a month, check that the reminders actually went out, since an automation can fail without warning.
What goes wrong
- Automatic follow-ups for client tasks are listed on Scale, not on Solo at $19£14€17A$27C$27 or Team at $49£37€44A$71C$69. Price the plan this needs.
- Reminders can stop silently if a job or client email is set up wrong. The firm's own due-date list stays the record, and a person checks it.
- A reminder isn't advice. If a client's income changes mid-year, the CPA reworks the estimate; the automation only repeats the old amount.
- Clients' payment confirmations are financial records. Note Financial Cents in the firm's written information security plan under the FTC Safeguards Rule.
